Octave analyzes your Zoom call transcripts and uses them to enrich your workspace — attributing each meeting to the right company and contacts, and proposing updates to your Library. Only meetings recorded to the cloud with an audio transcript are analyzed.

Before you start

You need a Zoom plan that includes cloud recording, Zoom admin access, and Owner access to your Octave workspace. In your Zoom recording settings, turn on Cloud recording and check Create audio transcript.

Connect Zoom

  1. In Octave, go to Settings → Integrations and select Zoom
  2. Click Set up Zoom integration and authorize with your Zoom admin account
  3. Copy the Webhook URL shown in the panel

Create the event subscription

Each Octave workspace has its own webhook URL and secret token, so this is done once per workspace.
  1. In the Zoom App Marketplace, create a Webhook Only app (Develop → Build App)
  2. Paste your Octave Webhook URL as the Event notification endpoint URL
  3. Subscribe to All Recordings → Recording transcript files have completed
  4. Copy the app’s Secret Token, paste it into the Zoom Secret Token field in Octave, and save it
  5. Return to Zoom, click Validate, then save the subscription
Save the secret token in Octave before clicking Validate — Zoom’s validation challenge can only be answered once Octave knows the token.

What happens next

The panel shows Waiting for the first event. Your next cloud-recorded meeting arrives automatically once Zoom finishes producing its transcript, which takes a few minutes and occasionally up to 30. The meeting then appears in Activity with its participants and transcript, and Octave proposes Library updates based on it. Every proposal is reviewed by a person before anything changes.

Importing past calls

Octave can import recordings from before you connected Zoom. This is billable, so contact support@octavehq.com and we will run it with you.

Troubleshooting

No events arriving. Confirm the meeting was cloud-recorded with Create audio transcript enabled at the time. A meeting without a transcript produces no event. Validation fails. The secret token was not saved in Octave first, or does not match. Re-copy it, save, then click Validate again. Events stopped. If you regenerated the Secret Token in Zoom, update it in Octave too.
